AB Temp – Job Description

This is a seasonal position that is project based in a team environment. The right candidate needs to be a quick learner with the ability to assess the teams’ needs and execute with little direction.

The candidate would be someone who has the flexibility in their schedule to assist the Planning team on specific projects as needed. The schedule for this position is based on project needs and the hours/days fluctuate. There are times when no assistance is needed. Our busiest times are generally during the months of January/February, June/July and September/October, but the workload varies each year depending on when meetings/events are scheduled.

The roles of the position include, but are not limited to, the following:

  • Production Assistant to Meeting Planners/Managers for Small and Large Meetings:

  • Registration/Housing.

  • Assists with coordinating Registration for small and large meetings

  • Create and Print Badges

  • Coordinate signage

  • Coordinate set up area for registration on-site location

  • Distribute badges to attendees

  • Assists with hotel rooming lists & accommodations.

  • Production/General Session.

  • Break out meetings.

  • Organizing needs of each room

  • Communicating needs to venue/production company

  • Verifying rooms are set up

  • Hostesses.

  • Coordinate needs for all locations during program

  • On-site assistance to ensure

  • Creates registration sites & runs reports in Cvent as needed

  • Provides Support in creating Excel documents and other meeting related documents

  • Assist in packing/shipping items to meeting/event through FedEx

  • Makes Travel arrangements for Site Inspections

  • Some travel as needed for programs outside of St. Louis
